There are two types of people in this world when it comes to managing the flow of emails. Which one are you?

I have never come across a business owner who has not struggled with the inbox management and massive influx of emails daily. The overwhelm of seeing your inbox at 100 emails (okay, maybe 1,000 emails) can cause anxiety in anyone.

Though it is easy to fall into that trap, it is just as easy to manage your inbox if you stay on top of it. I like to think, I have a good system with inbox management. I promptly respond to emails, they are filed and organized once complete and almost always have single digits in my inbox to manage.

I am going to share with you my TOP tips for managing inbox madness:

Use multiple email accounts: I suggest having at least 3 accounts, business, personal, “spam”. Keeping them together in each account allows you focus and prioritize your time spent in your inbox.

UNSUBSCRIBE: We all subscribe to many businesses for promotional offers or a discount of some kind, but, most of the time, we only casually look at their promo emails for a few seconds and then delete them. Use a service like UNROLL ME to quickly unsubscribe and reduce your inbox.

Use folders: Using folders allows you to sort your email and enables faster organization. You can add labels such as receipts, promos, business clients, projects, etc. After you have read the email, file it away to the appropriate folder in order to keep your main inbox clear.

Create a “To Do” folder: move any emails that need a response later or additional work/follow-up so you have it readily available but not in your main inbox.

Create rules to filter your emails. You can manage your incoming mail using Gmail’s filters to send email to a label, or archive, delete, star, or automatically forward your mail. This helps create an empty inbox and reduces your workload since they are automatically filed for you. I use this mainly for receipts or notifications for asana.
